The type of personal information we collect

We will collect and process the following information:

  • Name
  • Email address (required for communications)
  • Job title/role (optional)
  • Organisation/affiliation (optional)

How we get your personal information and why we collect it

All of the personal information we process is provided to us directly by you for one of the following purposes:

  • to register for and attend consortium activities, events, capacity development and training opportunities; and
  • to receive updates about consortium activities, events, capacity development and training opportunities, and research outputs;
  • to send marketing communications in relation to similar consortium activities, events, capacity development and training opportunities;
  • to provide feedback on consortium activities, events, capacity development and training opportunities, and research outputs;
  • to apply for consortium award schemes.

We may share your personal data with a limited number of existing approved third-party mailing platform providers, including Microsoft, Eventbrite and WordPress who will act as data processors and only process personal data in accordance with our instructions.

Lawful basis for processing

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is:

  • Your consent. You are able to remove your consent at any time by unsubscribing from our communications, or e-mailing us at [email protected]  

How we store your personal information

Your information is securely stored within approved systems at the University of Birmingham and Newcastle University, and/or within a secure, access-controlled third-party mailing platforms as referred to above, with appropriate safeguards in place.

We will hold your personal data for the duration of the NIHR Maternity Disparities Consortium, or until you withdraw your consent (whichever occurs first).

Upon expiry or termination of the NIHR Maternity Disparities Consortium or your withdrawal of consent, your information will be securely deleted and/or removed from mailing systems and any associated records within a reasonable timeframe, in line with institutional data disposal policies.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information.
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
